TravelLine Platform Privacy Policy
When you book accommodation and additional services (available only at accommodation facilities) using the TravelLine: Booking Engine on the website of an accommodation provider (such as Hotel Ordynka+), you are using software known as the TravelLine Platform (“TravelLine”).
- Accommodation Facility refers to any establishment providing lodging services (e.g., hotel, guesthouse, resort, sanatorium, or hotel complex).
- Accommodation Unit means a room, apartment, or house rented to you under a short-term lease agreement.
- Accommodation refers to your reserved room/unit and any associated services.
All personal data you provide during booking, when registering in your Guest Account, or when authorizing access via third-party accounts (e.g., VK ID, Tinkoff ID, Sber ID, Alfa ID)—as well as data collected automatically—is processed securely.
If you are uncomfortable with providing your personal information, or with how it may be displayed or used by the TravelLine Platform in accordance with this Privacy Policy or the Online Booking Terms, please do not use the TravelLine Booking Engine.
This document explains what personal data TravelLine collects, how it is used, and how it is protected.
Purpose of Data Collection
Your personal data is shared with the selected Accommodation Facility (and, if applicable, partner properties) to:
- Successfully complete your check-in.
- Enroll you in the facility’s Loyalty Program or a Partner Loyalty Network, enabling personalized offers, discounts, and complimentary services.
The legal basis for this data transfer is the contractual agreements between TravelLine Platform developer (LLC “TRAVEL LINE SYSTEMS”) and the Accommodation Facilities.
You may choose not to provide personal data, but without it, you will not be able to check in or join any loyalty program.
Specific purposes include:
- Transmitting your booking details (including payment/prepayment information) to the Accommodation Facility.
- Resolving booking-related inquiries (requiring your booking number + access code, or full name, phone, email, and stay dates).
- Allowing the hotel to contact you via email, phone, SMS, or third-party platforms to:
- Confirm or clarify booking details
- Notify you of incomplete bookings
- Send pre-arrival reminders
- Offer post-stay discounts for future bookings
- Request feedback about your stay or booking experience
- Promote add-on services (e.g., visa support, airport transfers, flights)
- Invite you to participate in hospitality market research
- Analyzing user behavior to improve the TravelLine Platform.
- Enabling participation in loyalty programs across multiple properties (if applicable), allowing you to earn rewards and enjoy personalized benefits.
TravelLine ensures the security of all personal data processing.
What Data Is Collected?
A. Information You Provide
- Full name, gender, date of birth
- Contact details: phone number, email address
- Home address (postal code, region, city)
- Citizenship
- Identity document details (passport series/number)
- Payment information (processed securely)
- Guest details (for co-travelers or minors you represent)
- Special requests (e.g., hypoallergenic bedding)
B. Data from Third-Party Logins
If you log in via VK ID, Tinkoff ID, Sber ID, or Alfa ID, we collect:
- Your account ID from the service
- Name, gender, date of birth
- Email address
- Profile photo link
- Maiden name (if provided)
C. Guest Account Registration
When creating a Guest Account, we collect:
- Loyalty card number (if applicable)
- Full name, phone, email, date of birth
- Reviews submitted via post-stay surveys (stored in TravelLine)
TravelLine does not verify the accuracy of the data you submit.
D. Automatically Collected Data
- IP address, time zone
- Browser type/version, OS/device details
- Language settings
- Booking reference number, status (confirmed/cancelled), currency
- Check-in/check-out dates
- Timestamp of booking
- Pages visited and links clicked within the Booking Engine
Minors’ Data
Personal data of individuals under 18 is collected only with parental/guardian consent. If unauthorized processing is detected, the data will be deleted.
Use of Cookies
TravelLine uses cookies to enhance booking convenience and performance. Some cookies are set by Yandex.Metrica (analytics). These do not collect personally identifiable information.

Data Sharing
Your data is shared only when necessary with:
- The Accommodation Facility you booked (e.g., Hotel Ordynka+)

- Property Management Systems (PMS) and CRM platforms
- Payment processors
- Partners offering integrated services (e.g., transfers, tours)
- Law enforcement agencies, if required by Russian law
All third parties are contractually prohibited from using your data for marketing without your consent.
If you log in via a third-party ID (e.g., VK, Sber), that provider will be notified of your login.
Data Security
We protect your data using:
- TLS encryption for data transmission
- Encrypted databases
- Restricted access to authorized personnel only
- Regular security monitoring and incident response
In case of a data breach, affected users will be notified promptly.
Your Rights
You may:
- Access, correct, or delete your personal data
- Withdraw consent to data processing
- Opt out of marketing emails (via unsubscribe link)

Note: Deletion of your Guest Account must be requested directly from the hotel.
Data Retention & Deletion
Your data is stored:
- For as long as necessary to fulfill the purposes above
- In compliance with Russian law (typically up to 3 years after check-out)
Data is securely destroyed when:
- The purpose of processing is fulfilled
- Processing is found unlawful
- You withdraw consent
- You request deletion
Deletion methods comply with the Accommodation Facility’s internal policies.

Policy Updates
This Privacy Policy may be updated. The revised version will be published on the booking page with an updated “Effective Date.” Continued use of the service constitutes acceptance of changes.
